Folders
Gathering the work for one client or one series, and telling ANVL once what the job is.
A folder gathers what belongs to one client or one series: the conversations, the material and the images. It also carries instructions — what ANVL should know about the job. Who it is for, what has already been said, what to stay away from. You write that once, in the folder, instead of in every conversation.
A folder can be empty. One with only instructions is a perfectly good folder, and the usual way to start: create it, write the instructions, then begin.
Making one
In Projects, open All folders and press New folder. Give it a name and press Create. Names are unique within the workspace and can be up to 60 characters.
You can also make one on the way: select material, choose Move to folder and type a name that does not exist yet.
Anyone in the workspace can create a folder, rename it, delete it and edit its instructions. It is not an admin action.
Where folders show up
- In Projects
As cards under Client folders, with a count of what is in them. Pick one to see only its material; All folders lists every folder.
- In the rail
Under Projects, the three most recently used folders, and All folders. If you have no folders, the rail looks as it always did.
- In the image bank
The same folders. A folder in Projects and a folder in Images are one and the same, and Move to folder works in both places.
The folder's page
Each folder has a page of its own, with four sections: Instructions, Conversations, Materials and Images.
Material works as it does in Projects — open, rename, duplicate, share, move to the trash — plus Remove from folder.
Add images opens the image picker on the folder's page. Choose from the image bank or upload, several at once: images you choose move into the folder, and images you upload are saved to the image bank as drafts, in the folder. An image in the folder opens large, with Download, Remove from folder and Delete. Tags, alt text and status are edited in the image bank.
The page also has a prompt box of its own: What would you like to do for …? A conversation started there belongs to the folder. So does one started by dropping a document in the box — the conversation reads it before anything is built.
What the instructions do
They go with every message in the folder's conversations. They sit on top of your brand and can never change its colours, tone or channel rules: if they disagree, the brand wins, and ANVL says so rather than following the folder.
The limit is 8,000 characters, and the dialog counts as you type. The instructions are sent with every message, so a pasted report would be sent every time too.
The instructions steer what is built in the folder: its conversations, and the decks and posts they build. A deck you start somewhere else and move into the folder afterwards was not made with them — moving something into a folder does not change it.
In a folder with instructions, the conversation does not save a preference to the brand memory on its own. It puts it on a card, and you tick it yourself.
Conversations in a folder
A conversation started in a folder carries the folder's instructions and its images — up to 50, newest first, before any you pick yourself. A deck built in the conversation lands in the folder.
The conversation shows which folder it is in. On a computer the folder's name comes before the conversation's, and the arrow takes you back to the folder. On a phone the folder's name sits above it, and Open the folder is under ⋯.
A conversation you already have can be moved into a folder with Move to folder… in its menu. The instructions apply from the next reply, and a conversation that has a folder keeps it.
A conversation is yours until you share it. In a folder you see your own conversations, and your colleagues' only if the folder is shared with the team. The material and the images are the whole workspace's.
A single conversation can also be shared on its own: Share… in its menu shares it with one person or the whole team, to read. They find it under Shared with you and can continue in a conversation of their own. Only you write in the original, unless it is in a folder the team can write in.
Sharing the folder's conversations
Share is next to More options on the folder's page. It concerns only the conversations: the material and the images in a folder are the team's already. There are three settings:
- Only your own conversations
Each conversation in the folder is visible only to the person who started it. This is where every folder starts.
- The team can read
Everyone in the workspace can read the conversations started in the folder from now on.
- The team can write
Everyone in the workspace can write and build in the conversations started in the folder from now on, as the person who started them does. Each message shows who wrote it.
Sharing counts from the moment you turn it on. Conversations started in the folder before that stay private, and so does a conversation someone has moved to the trash. Switching between reading and writing keeps the date. Choosing Only your own conversations stops the sharing, and sharing again counts from then.
When a folder is shared, the button shows the setting instead of Share, and the line under the folder's name says shared with the team.
A colleague's conversation
A colleague's conversation is listed under Conversations on the folder's page, with their name on it.
When the team can read, it opens for reading, and nothing you do there changes it. Continue in your own conversation copies the thread into a conversation of your own in the same folder, with the folder's instructions, and you write on from there.
When the team can write, you write in the conversation itself. If someone else writes while you have it open, the conversation says New messages; Reload brings in what they wrote and keeps what you had typed.
Who can change it
The person who created the folder and the workspace's admins. Everyone else sees the current setting and no Save.
Sharing is included in paid plans. On a plan without it, a folder that was shared earlier can still be set back to Only your own conversations.
Deleting a folder
On the folder's page, open More options, choose Delete and confirm with Delete folder. Rename is in the same menu. Nothing in it is deleted: material, images and conversations stay in Projects and the image bank, without a folder. Only the instructions go.
