Roles
Two roles, what separates them, and which one most people should have.
There are two roles in a workspace, and the line between them is not seniority. It is whether someone can say this is finished.
- Editor
Makes things. Creates presentations, pages and content, edits the brand kit, asks for review, and answers reviews sent to them. This is the role most people should have.
- Admin
Everything an editor can do, plus the decisions about people: changing somebody's role, removing them, and asking for more seats.
Reviewing is not one of them
Worth saying plainly, because it is the thing people assume: anyone can answer a review that was sent to them. You send work to a colleague or a group and they answer it, whatever their role.
Where admins come in is as the fallback: they can answer anything in the workspace, and an unaddressed review goes to them. So the reason to have more than one admin is not to unblock approvals — it is so the fallback exists when the person you actually asked is away.
How many admins
Two or three. One is a person-shaped bottleneck for the things that genuinely are admin-only — roles and seats — and those are exactly the things you need on the day that person is unreachable.
Everyone else can be an editor without losing anything they need day to day. Editing the brand, and putting it back the way it was, are open to them already.
Changing someone's role
From their row on the Workspace page. It takes effect immediately — there is nothing to send and nothing for them to accept.
